How do I use the QLD Motor Vehicle Register Bulk Upload facility?

  • The Queensland Transport Bulk search takes an input file containing one or more search queries and produces an output file containing a matching result for each query.
  • The input file name is limited to a maximum of 64 characters including the file extension.
  • The input file is limited to a maximum of 5000 rows.
  • Each enquiry in the input file should be on a separate line.
  • The input file should be a Comma Separated Values (CSV) file.
  • Any field which itself contains a comma should have the entire field bounded by quotation marks, for example:

    field1text,"field2text,field2text",field3text
  • Optional fields can contain no values, however a comma must exist to indicate the presence of a blank field, for example:

    field1text,,field2text
  • In the output file, there can be two secondary customer segment records. If there are no secondary customers, the entire segment will be omitted.
  • Within each of the customer segments, up to two addresses are possible for an individual and up to three addresses are possible for an organisation.

How should I format the Input file?

Note: Date fields must always be in the format: YYYYMMDD

2 State Text 3 O Must be QLD if supplied. If not supplied, QLD will be used.
3 Check Digit Text 1 O Plate Check Digit. If supplied, it must be the correct check digit otherwise validation will fail.
4 Search Date Date 8 O YYYYMMDD. Date of alleged offence. If this field is left blank, the current date will be used.
5 Declaration Indicator Text 1 O Must be left blank - no longer used.
6 Customer Reference Text 15 O Client Customer Identifier.
7 Request Date Date 8 M YYYYMMDD. The date the CSV Input file was created.
8 Ticket Number Text 10 O Offence Ticket Number. The output file will contain this number on the result entry.

How will the Output file be formatted?

Two output file formats are available: standard and expanded. Both are returned as CSV files.

Standard format

By default, all clients will receive an output file in the standard format.

Expanded format

Suitably authorised clients (for example LGAs) have access to the expanded format and will be required to amend their processes to accept this format.

As of 18 May 2017, updated codes and descriptions are being returned in the output file.
