What are Profiles?

Profiles are stored sets of information that you can retrieve and include when lodging a document. Profiles allow you to enter frequently used information once, rather than again and again. As well as saving time, profiles help to guarantee that the information included in your documents is accurate and consistent.


What format should Profile Names be in?

Profile names can be up to 20 characters in length and have no format restrictions. Your business processes are the most important consideration when naming profiles - choose names that are easily recognizable and relevant to you. Standard naming will prevent confusion as your profile library expands and also reduce the chance of redundant profiles being created.


Can Profile Names be used more than once?

Each active profile must have a unique name. An error will be generated if you try to reuse an active profile name.


Can the information in Profiles be edited?

Profiles are very easy to update. To edit a profile, choose Maintain Profiles from the VIC Magistrates' Court Menu, and select the Edit link next to the required profile. The existing information will be displayed in a profile entry screen for you to change and save.

Please note, profiles* can not be edited from document lodgement screens. This is a security measure to prevent the information in your profiles being accidentally overwritten during document entry.

*Precedent profiles can be modifed during the creation of a complaint.


Can Profiles be deleted?

Profiles that you no longer require can be deleted. Choose Maintain Profiles from the VIC Magistrates' Court Menu, and select the Delete link next to the required profile. Deleting a profile will not affect any documents already created using that profile. A deleted profile name can be reused after 24 hours.


Will the Profile Name appear on printed documents?

Profile names will not appear on documents - only the details stored in the profile and displayed to screen when you select a profile will be used in the documents you lodge. Using profiles to complete a lodgement will not affect the look of your documents, only the time it takes to create them.


What do I need to know about my Solicitor Profile?

Your Solicitor Profile must be created before you are able to lodge a document via CITEC Confirm. Your CITEC Confirm account code can only support a single Solicitor Profile. Your Solicitor Code is supplied by the Department of Justice. Your Solicitor Profile will be automatically appended to each Complaint, Default Order, Warrant to Seize Property and Summons to Attend for Oral Examination that you create using CITEC Confirm. Your Solicitor Profile should be updated to reflect any changes in your contact details. You can enter either a Post Office or Street Address, but not both.


What do I need to know about Plaintiff Profiles?

There is no limit to how many Plaintiff Profiles can be supported by your CITEC Confirm account code. You can enter either a Postal or Street Address, but not both. Similarly, you can enter either an Individual or Organization name, but not both. You can enter an Individual name and organization details such as an ACN or trading name if applicable to that individual.

When entering an Organization name, you should also include either an ACN or trading name. If the organization details are too lengthy for the standard fields you should abbreviate the information in the Organization name field, enter an ACN or trading name and then reenter the information from these fields, along with any additional information, into the Long Legal Name field. If the Long Legal Name field is used it will appear in place of all other plaintiff name details on documents. For this reason, it is important to make sure you include all information regardless of repetition.


What do I need to know about Server Profiles?

There is no limit to how many Server Profiles can be supported by your CITEC Confirm account code. The occupations for Servers are provided by DOJ. A Street Address must be entered for a Server, a Postal Address is not acceptable.


What do I need to know about Witness Profiles?

There is no limit to how many Witness Profiles can be supported by your CITEC Confirm account code. The qualifications for Witnesses are provided by DOJ.


What do I need to know about Precedent Profiles?

There is no limit to how many Precedent Profiles can be supported by your CITEC Confirm account code. Text can be copied and pasted into the Precedent Profile from other applications, such as a Word document.
