How does an Organisational Search differ from Organisational Extracts Search ?

The Organisational Search function allows for either an organisation name, ABN, ACN or Business Registration Number and State to be used as search criteria.

Current, Historical, Satisfied Charges and Relational Extracts, as well as company documents, can all be ordered where available for the subject organisation.

Extracts and documents can be requested for organisation types:

  • Business Name (BUSN)
  • Australian Public Company (APUB)
  • Australian Proprietary Company (APTY)
  • Foreign Company (FNOS)
  • Managed Investment Scheme (MISM)*
  • Registered Australian Body (RACN).


Organisational Extracts searches allow up to 10 organisations to be searched in a single transaction, using either the ACN or ABN as the search criteria.

Results are limited to Current, Historical or Relational extracts for organisation types:

  • Australian Public Company (APUB)
  • Australian Proprietary Company (APTY)
  • Foreign Company (FNOS)
  • Managed Investment Scheme (MISM)
  • Registered Australian Body (RACN).


Business Name extracts including current and historical extracts are for organisation type Business Name (BUSN) only.

*There are no Charges or Relational Extracts available for organisation type Managed Investment Scheme (MISM).


What kinds of information can I get from an Organisational Search?

An Organisational Search will return either an exact match or a browse list of possible matches. The browse list will show the Organisation Number, Name, Status, ABN, Type, Address and Place of Incorporation, Charity or Not for Profit.

Clicking the View Summary link for an organisation will show any available reports in a drop-down box. A message is displayed if the type of report you choose is not available for the subject organisation.

What search criteria should I enter in the Organisation field?

Be careful with spelling as this search does not incorporate any fuzzy logic or 'sounds like' features and avoid using common words wherever possible.

A maximum of 99 possible matches to an organisation name can be returned in the browse list.


How does the Organisation Name search work?

This search works by comparing the word(s) you have entered in the Organisation Name field with the word(s) stored by the ASIC database as an organisation name.

The search will automatically take into consideration the following points when comparing your search criteria to the database:

  • The use of the definite ('the') or indefinite ('a', 'an', 'any', 'some') article as the first word in either name
  • The use of 'Proprietary', 'Pty', 'Limited', 'Ltd', 'No Liability' or 'NL' in either name
  • The use of a plural or singular form in either name
  • Letter case, spacing, accents or punctuation marks in either name
  • Alternatives for the words Australian (Aust), Company (Co/Coy), Number (No), And (&), Incorporated (Inc), Corporation (Corp) and Australian Company Number (ACN)
  • Numbers represented by numeric characters (1) or words (One)

What is the correct format for entering an ACN?

ACNs (Australian Company Numbers) are always formed of nine digits. Although ACNs are often displayed with spaces between each three numbers, it is best not to include spaces when entering the number in search fields.

Example: 012345678 is preferable to 012 345 678


What is the correct format for entering an Business Registration Number?

The format of Australian Business Registration Numbers varies from state to state.

What is the correct format for entering an ABN?

An ABN will always be formed of eleven digits. When entering an ABN in a search field, do not include any spaces between characters.


How far back do the on-line records go?

The ASICs online records date back to its inception in 1991. Prior to this time the registration of companies was the responsibility of the individual states and territories, who primarily stored information on microfiche.

All pre 1991 paper documents from NT, TAS, ACT and QLD can be retrieved online as images. Pre-1991 microfiche records from VIC, NSW, SA, WA and QLD can also be converted to images to be made available electronically upon request.


How do I obtain pre 1991 microfiche records?

To obtain pre 1991 microfiche records first check the organisation's document list to ensure the documents have not already been recorded. If the document(s) appear in the list, copies can be ordered immediately.

If the document(s) do not appear in the list, please send an email to confirm@citec.com.au and request that the company's microfiche files be converted to Docimage. Make sure to include the details of the organisation you are searching on, specifically:

Subject Heading:    Microfiche Request for "(Company Name)"
Details: Company Name, State of Incorporation (eg. NSW, VIC, etc.), State Registration Number (if known) and ACN (if known).


You will be notified via email when the microfiche records have been converted. The conversion process can take up to five working days. Once the files have been converted into the Document Imaging system, copies of documents can be retrieved online via the Confirm ASIC Document Ordering facility.


What information will I get from a Current Company Extract?

Current Company Extracts are available for organisations of types Australian Public Company (APUB), Australian Proprietary Company (APTY), Foreign Company (FNOS), Managed Investment Scheme (MISM), Registered Australian Body (RACN).

The details included in an extract vary with the type of organisation, although standard* inclusions are Current Organisation Details and Document Details.

* The Corporations Act 2001 requires only that limited information be lodged for Registered Australian Bodies (RACN) and it is recommended that a search be also conducted with the appropriate authority in its place of registration.


What information is covered by Current Organisation Details, Document Details?

Current Organisation Details will include:

  • Organisation Name
  • Name Start Date
  • Status
  • Type
  • Class
  • Registration Date
  • Subclass
  • Disclosing Entity Y/N flag
  • Date Deregistered
  • Reason Deregistered (if applicable)
  • Charity or Not for Profit (if applicable)

Document Details will include:

  • Date Received
  • Form Type
  • Processed Date
  • Number of Pages
  • Effective Date
  • Document Number

What additional information will I get for the different organisation types?

As well as the standard information, organisations of a particular type will usually include the following details:

  • APTY Registered Office, Principal Place of Business, Director, Secretar
  • APUB Registered Office, Principal Place of Business, Director, Secretary
  • FNOS Registered Office in Australia, Registered Address in Place of Incorporation, Director, Local Agent
  • MISM Responsible Entity, Compliance Plan Auditor

What information will I get from an Historical Company Extract?

Historical Company Extracts can be requested for organisation types:

  • Australian Public Company (APUB)
  • Australian Proprietary Company (APTY)
  • Registered Australian Body (RACN)
  • Foreign Company (FNOS)
  • Managed Investment Scheme (MISM).


The historical extract will include all the details in the Current Company Extract plus any prior details relevant to the type of organisation.

Annual Returns were abolished on 1 July 2003, however, previously lodged returns will still show on Historical Company Extracts. 


What information will I get from a Satisfied Charges Extract?

A charge is a debt for which the subject company has provided security, usually in the form of equipment and/or stock to a particular value. Charges can be Current or Satisfied. Due to the commencement of the Personal Property Securities Register (PPSR) only Satisfied (historical) or Deleted Charges (that is charges that have been satisfied (paid out) prior to commencement of the PPSR) are available through ASIC. Current and provisional charges must be obtained from the PPSR.

Satisfied Charges Extracts are only available for companies of type APUB, APTY, RACN or FNOS. Not all organisations of these types will have charges data. If no charges information is available an error will be displayed and you will not be charged. Satisfied Charges Extracts are not available online but can be ordered for delivery via fax, WEB-Mail, post, email.

Where available, a satisfied charges extract will return the following information about the subject company:

  • A cover sheet noting the Document Number, Charge, Form Code, No. of Pages, Registration Date & Time, Status
  • Imaged copies of the original documents related to the charge showing the Registered Agent Number, Lodging Party Details, Corporation Name, Details of the Charge, Details of the Chargee

What information will I get from a Relational Extract?

Relational extracts are only available for companies of types APUB, APTY, RACN or FNOS. Not all organisations of these types will have relational data. If no relational information is available an error will be displayed and you will not be charged. Where available, a relational extract will return the following information about the subject company:

  • Companies in which the subject is one of the top 20 members
  • Companies for which the subject is the ultimate holding company
  • Corporations for which the subject is a director
  • Foreign companies for which the subject is a local agent
  • Managed investment schemes for which the subject is the responsible entity
  • Licenses held by the subject company for securities dealers, securities investment advisers, futures dealers & futures adviser

What information will I get by ordering company documents?

The information in a company document depends on the type of document. To see what documents are available for the subject organisation, choose Order Company Documents from the drop-down list and specify a time frame. A complete list of documents matching your criteria is displayed. Multiple documents can be selected from this list and submitted in a single order.

Documents are not available online but can be ordered for delivery via fax, post, email or WEB-Mail. Documents over 50 pages must be posted or WEB-Mailed. For more information on document orders, delivery methods and charging, please see the ASIC Document Order FAQ.


What information will I get from a Current Business Name Extract?

Current Business Name Extracts are available for organisations of type Business Name (BUSN). The current extract includes all current business name details, address details for the business name, business name holder details and business name representatives details.

Business name details will include:

  • Business Name
  • Registration Date
  • Status
  • Status Start Date
  • Next Renewal Date
  • Cancel Date
  • Regulator
  • Former state or territory of registration
  • Former state or territory identifier, i.e. Business Registration Number issued by state or territory prior 28 May 2012

Address details for business name will include:

  • Principal place of business
  • Address for service of document

Business name holder is the entity that owns a registered business name. A business name holder can be Individual, or Incorporated entity, or partnership, or joint-venture, or unincorporated entity. The holder details will include:

  • Holder name
  • Holder former name
  • Holder's ABN
  • Holder's ACN/ARBN
  • Holder start date
  • Partners and joint-venture partners

Business name representatives are listed against a business name or business name holder. Business name representatives include notified successor, legal personal representative, principal contact, debtor representative, nominator manager for debtor representative and organisational representative. The representatives details will include:

  • Representative name
  • Representative start date

What information will I get from a Historical Business Name Extract?

Historical Business Name Extracts can be requested for organisations of type Business Name (BUSN), i.e. Business Name. The historical extract will include all the details in the Current Business Name Extract plus any prior details relevant to the business name.


What is a Secondary Delivery Method?

The Secondary Delivery Method may be required for documents that are greater than 50 pages. For instances where the Primary Delivery Method is either fax or email, any documents larger than 50 pages will require a Secondary Delivery Method of either WEB-Mail or post to be delivered.


How can I ensure that my results will arrive as quickly as possible?

Every effort is made to deliver orders within the shortest possible time. The most common cause of delays is incorrect or incomplete recipient information.

We recommend that you check your delivery details frequently to ensure that phone and fax numbers are up to date and that you include both your first name and surname. A contact phone number is essential as the search agent may need to contact you to clarify your search requirements.
